JOB DESCRIPTION
Job Title: Service Department Office Assistant
Department: Service / Admin
Purpose of Job: Efficiently and professionally communicate with customers and coworkers. Perform administrative functions within the Service Department as well as general administrative duties within the company.
Skills Required
Experience with customer service and basic accounting
Knowledge and understanding of Microsoft Office
Attention to detail and strong organizational skills
Ability to work alone with minimal supervision

Order, receive and prepare machines, office/machine supplies, and service parts for delivery.
Check-in, assign ID numbers, and route paperwork for incoming machines.
Match, separate, and prepare invoices for filing and file sales copies.
Receive service calls from customers and dispatch to technicians.
Input service department data and prepare billings for service work and contracts.
Keep the inventory on shelves organized and clean.
Invoice supply and service billings.
Backup telephone and reception area.
Maintain an organized work area.
Special Duties
When asked, assist with other duties as needed.
Relationships
Reports to: Owners
Works with: Service Manager, Service Technicians, Machine Sales, Receptionist, and Accounting Administrator.
Supervises: N/A
